When you run your own company, “hard” work no longer has a direct correlation to the profit you generate. In the entrepreneurial realm, time is decoupled from money. There is no guarantee that pouring more time into your business will yield positive results.

In a small business, there is no place to hide. Hard work itself is meaningless.

The work must work—it must be strategic and revenue-generating, or you will quickly go out of business.

The linchpin of these principles is a centralized operations dashboard, or hub, including a Manager Manual. Together, these create a home for all information about how to run your business. Mine is powered by Notion, incredibly powerful software that costs just $8 per person per month.

Why is this centralized hub so important?

In an ideal world, no piece of information about the business (or your clients) lives only in someone’s mind—yours or your team’s. None. Nothing.

If you’ve read Free Time, you know about the Fiji Test (Chapter 22): If anyone were whisked away to an island vacation with no notice and devices left behind, the business could continue operating just as smoothly without that person. That means every piece of data—process, passwords, rules-of-thumb—must live outside of any one person’s mind.

Software will help you achieve this. Not tools like email or Slack relying heavily on search; look for something with more structure that is easily navigable, an internal intranet. In my business, we use Notion as our operations hub. Every bit of data has a home in our shared business dashboard: from task, project, and client tracking to the Manager Manual, with many subpages for each.

Centralizing our externalized mind with an organized dashboard has the added benefit of bolstering the business’s memory through easily searchable archives. No one needs to remember anything, except how to navigate our documentation. Notion is a comprehensive wiki-like tool with tremendous flexibility. It allows us to create a central location, or dashboard, for all information in the business. This includes our:

  • You will quickly find that the dashboard gives you time back! That said, there will be some set-up required in the beginning. I’d plan for you or a team member to spend about five hours each week for the first month refining everything to fit your specific business needs.

    If you purchase the Dashboard+Community package (recommended), onboarding time will also include two monthly Q&A calls (one with Jenny for more general business topics, and one with our in-house Free Time Notion pro).

    As with any course or program, you will get what you put into this. The more time you and/or your team members can invest in the first month, the more you will find your own Notion hub to be irresistible! It will be more painful more *not* to use it.

  • No previous Notion knowledge is required! Because the Operations Dashboard has so many systems already built out for you, you will be able to more easily jump in and customize in very intuitive ways. You can save the more complicated Notion features for later, when you have a solid baseline understanding, and can even schedule time with our Notion pro to help you build whatever systems you need.

  • Even if you don’t have any team members (part-time or otherwise), you will gain tremendous value from organizing your life, your mind, your finances, and your ideas in one place. I’m biased, but I think anyone can benefit from centralizing operations with Notion.

    That said, if the financial investment is a hardship and would tip you into uncomfortable stress or pressure, or if you would be going into debt to purchase it with no path toward paying quickly it back, this may not be the best time.     That said, if you do change your mind and decide not to go with Notion after all, you can still model your own docs, sheets, AirTables, Asana, and Trello boards after the templates inside. Much of the IP in the Free Time Operations Dashboard revolves around the problem-solving around how small business systems can and should work best — what information to capture, where to display it, and how information flows across the business — and that is transferrable across many different software programs.

  • You can make significant headway in the first week; within one month, you’ll be flying! After that, you will be making micro-refinements, tweaking things based on bugs or problems that surface. Updating your Manager Manual is a continual process that should always be happening in the background.
